City Zen Painting Privacy Policy

City Zen Group LLC, doing business as City Zen Painting (“City Zen Painting,” “we,” “us,” or “our”), respects your privacy. This policy explains how we collect, use, store, and share information through our website, quote and booking forms, estimate tools, and internal advertising systems.
Information we collect
We may collect:
- Contact details you provide, such as name, email address, phone number, property address, and preferred contact method.
- Project information, including service type, room or property details, photos, measurements, condition, desired finishes, and timing.
- Booking, estimate, and consultation information.
- Website and advertising data, such as referral source, UTM parameters, browser/device information, pages viewed, form activity, and conversion events.
- Google Ads account and campaign data used by our internal advertising-management tool, including campaign settings, ads, keywords, search terms, budgets, targeting, performance metrics, calls, and conversion metrics.
We do not use the Google Ads API to upload Customer Match lists, remarketing audiences, mobile-app events, offline conversions containing customer contact information, or other sensitive personal information.
How we use information
We use information to:
- Respond to inquiries and provide estimates, consultations, and painting services.
- Schedule, manage, and improve customer projects.
- Measure website and advertising performance.
- Report on and manage City Zen Painting’s own Google Ads account.
- Detect errors, prevent abuse, maintain security, and comply with legal obligations.
Google Ads API and AI-assisted analysis
Our internal advertising tool uses the Google Ads API to access and manage City Zen Painting’s own advertising account. The only human user is City Zen’s owner and authorized administrator.
When we use AI-assisted reporting, selected Google Ads query results may be transmitted to our configured language-model service provider solely to generate internal analysis. We do not include OAuth credentials, refresh tokens, developer tokens, passwords, payment information, or other authentication secrets in model prompts. Service providers process information on our behalf and are not permitted to sell it or use it for their own advertising.
Google Ads data is not sold, licensed, or disclosed to clients, unrelated advertisers, or the public.
How we share information
We may share information with service providers that support website hosting, booking, estimates, analytics, communications, security, and internal AI-assisted analysis. We share only the information reasonably needed for the service. We may also disclose information when required by law or to protect our rights and users.
We do not sell personal information or Google Ads data.
Storage and retention
Google Ads reports, cached query results, and approval records are retained for no longer than 12 months unless a longer period is required for security, dispute resolution, or legal compliance. They are then deleted or aggregated.
Customer inquiry, estimate, and project records are retained only as long as reasonably needed to provide services, maintain business records, resolve disputes, and meet legal obligations.
OAuth-derived data may be deleted earlier when access is revoked or the data is no longer required.
Security
We use reasonable administrative and technical safeguards. Google OAuth credentials, refresh tokens, and developer tokens are kept in owner-restricted local secret storage and are excluded from public source code, reports, screenshots, and routine application logs.
No security measure is perfect, and we cannot guarantee absolute security.
Revoking Google access and requesting deletion
Google Account access can be revoked through your Google Account’s third-party access settings. City Zen’s administrator may also revoke access by removing the OAuth grant and deleting local credentials.
To request access to or deletion of information associated with City Zen Painting, email jon@cityzen.tech. We will verify and process valid requests within a reasonable period, generally within 30 days. Deletion may be limited where retention is required by law or for legitimate security and business-record purposes.
Your choices
You may choose not to provide optional information. You may also contact us to update your contact information or opt out of non-essential communications.
Children’s privacy
Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy to reflect changes in our services, technology, or legal obligations. We will post the updated date on this page.
